Baking Angels

Baking Angels is a non-profit with a simple mission: to bring love, support, and sweetness to families facing a life-impacting illness, one homemade treat at a time. Volunteers bake and deliver everything from a plate of cookies to a full cupcake bouquet, so families know they are not alone. Founder Belinda came to us wanting to build the organization's request process into something families and their loved ones could count on.

A simple contact form wasn't going to be enough. Once a request came in on behalf of a family, Belinda needed a reliable way to confirm the family actually wanted the delivery, coordinate details like the delivery date, and track exactly where each request stood, whether it was waiting on a response, confirmed, or something had gone wrong along the way. Without that visibility, following up on dozens of individual requests by hand would have quickly overwhelmed a small non-profit team.

We worked with Belinda to understand Baking Angels' actual process from end to end: how a request comes in, who needs to confirm it, and what information has to be captured before a delivery can happen. Rather than adapting a generic form-and-email setup, we built a custom WordPress and PHP backend designed specifically around that workflow, covering each step from the initial request through signup, follow up, and confirmation. As Baking Angels grew, we continued that partnership by helping Belinda and her husband Bob, who brings some technical experience from a previous role, extend the system with a third-party texting tool for more direct follow-up.

Request and consent workflow

Using a custom form, users can submit a request for themselves or on behalf of a family member. We built a custom backend integration with Twilio so that once a request comes in, the system automatically sends a templated text message asking the family to consent to the delivery. Tapping the link opens a confirmation form where the family can confirm delivery details, including the date. Every step, Make a Request, Signup, Follow Up, and Confirmation, was built around Baking Angels' real process instead of a one-size-fits-all form.

Status tracking and logging

Every request is logged in the backend with visual steps and status indicators, so Belinda can see at a glance exactly where a request stands: consent accepted, consent rejected, a question came in, or an improper response was received. Custom email notifications also go out to Belinda as new requests arrive. When a question comes up, detailed logs show which step a user left off at and when they signed up, giving Belinda the information she needs to decide the next step herself instead of guessing.

Sociocs integration support

After the initial system was in place, Belinda and Bob wanted additional texting options through a third-party tool called Sociocs, so they could follow up more directly when a user hadn't continued through the process, and send follow-up and thank-you messages. We configured the backend to support this integration and provided recommendations on how to set it up and why, supporting Bob's technical background rather than handling the work entirely for him.

CMS management and training

We manage Baking Angels' ongoing CMS updates and trained Belinda directly on her WordPress system, so day-to-day content changes don't require reaching out to us every time.

Baking Angels went from needing a simple way to collect requests to running a fully tracked workflow, from request to consent to confirmed delivery, with visual status indicators at every step. The Twilio-powered consent process confirms families automatically by text instead of requiring Belinda to call or email every household by hand, and the detailed logs mean nothing falls through the cracks even when a request stalls partway through. With the added Sociocs integration, Belinda and Bob can follow up more personally at exactly the point a family needs it, whether that's answering a question, nudging along an unfinished request, or sending a thank-you after a delivery is complete.
